One of the most daunting tasks you will face if you work in an office or deal with a lot of paperwork at home is organizing it. This can be a daunting task to those who aren’t prepared to do so. Many of the solutions are non-costly and can be assembled easily if need be, some are almost entirely free.
A time-tested invention that has proved itself time and time again is the filing cabinet. These come with a usual six cabinets in height, but only one wide. The beauty of it is that they can be bought in pairs, triplets, and fives. They are used in almost every office building in America and many other countries. When most people think organizing paperwork, they think about filing cabinets. They are right to do so.
There are also the do it yourself types who enjoy making their own systems of organization. Using separately colored tabs or sticky notes, they categorize and separate all their own documents into an algorithm or system that works for them. This can cause problems though due to loose papers and things getting lost amongst the piles you’ve made for yourself. It is an unstable way to organize that is sometimes easy to misread and to misplace things.
To preface all of this, there are two kinds of paperwork to be dealt with. There is paperwork that needs to be dealt with as soon as possible, immediate paperwork. Yet there is also the harder to deal with kind, which is paperwork that needs to be filed or held on to for an extended period of time. This is called stagnant paperwork. The best possible way to deal with this, is to obtain two separate filing cabinets and place the documents in them according to when they need to be dealt with. An immediate cabinet and a stagnant cabinet. Both are equally important in their own ways.
Filing a single piece of paperwork in a filing cabinet only takes a few moments, but if you somehow manage to put that single piece aside, it can become infinitely more confusing. If this becomes the habit than organizing paperwork is going to be an extremely hard task. The most efficient way to deal with it is to file it immediately after you receive and read it. At the very least, place it in a folder of current documents on a desk or in a drawer.
A great deal of management comes with filing and organizing paperwork, most of which spawns from not have a system to deal with it. Sooner or later, without a system, you can end up misplacing and losing documents and becoming buried in useless messes that you already don’t have time to deal with. Making a system of color-coded tabs and sticky notes, a “do it yourself system”, works but is not recommended. For optimization and easy-to-use access, get a filing cabinet and keep it tidy, this will keep you underwhelmed and your office paperwork organized.
